Using Calendar Shortcuts in Outlook

1. Switch to Calendar View Quickly

  • Shortcut: Ctrl + 2

  • What it does: Instantly takes you from your Mail, People, or Tasks view to the Calendar in Outlook.

  • Why use it: Saves time compared to clicking the Calendar icon.

2. Turn an Email into a Calendar Event

  • Method: Drag & Drop

  • Steps:

    1. In Mail view, click and hold the email you want to schedule.

    2. Drag it to the Calendar icon in the lower-left navigation bar (or onto the Calendar tab if open).

    3. Outlook opens a new Event window with:

      • Email subject as the event title.

      • Email body in the event notes.

    4. Add attendees, date, and time.

    5. Click Save & Close (or Send if inviting people).

Pro Tips

  • Works in both Outlook Desktop and Outlook Web (with slight visual differences).

  • You can also use Ctrl + 1 to return to Mail view and Ctrl + 3 to switch to Contacts.
